This Privacy Policy explains how Saratoga Smiles Dentistry (“we,” “us,” or “our”) collects, uses, and protects information about visitors to saratogasmiles.com and people who contact us through the website, our advertisements, or our office.

This is a general-purpose website privacy policy. It is not our HIPAA Notice of Privacy Practices, which governs how we use and disclose your protected health information as a healthcare provider. You will receive that separate notice at your first visit, and you can request a copy at any time by contacting our office.

What we collect

  • Information you give us directly — your name, phone number, email address, and any information you provide when you fill out a contact or consultation form on our website, our Meta (Facebook/Instagram) Lead Forms, or by calling our office.
  • Information collected automatically — IP address, browser type, pages visited, referring URL, and similar technical data via cookies and analytics tools (Google Analytics, the Meta Pixel).
  • Information from our advertising partners — when you interact with our ads on Facebook, Instagram, or Google, those platforms may share certain limited data with us about your interaction (e.g., that you clicked the ad, submitted a form, or visited a page).

How we use it

  • To respond to your inquiries and schedule appointments
  • To send appointment confirmations, scheduling messages, and consultation information by phone, email, or text message (only if you have opted in)
  • To improve our website and understand which content and ads are most useful to visitors

Text messaging (SMS)

Mobile information and SMS consent. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. The mobile phone number and consent you provide to receive text messages from Saratoga Smiles Dentistry are used solely to operate our own SMS program (appointment scheduling and reminders, responses to your inquiries, and related practice communications) and will not be sold or shared with any third parties. If you provide your phone number and explicitly opt in to receive text messages — for example, by checking an SMS consent box on a Lead Form or contact form — we may send you appointment confirmations, scheduling messages, consultation reminders, and information related to your inquiry. We do not text you marketing or promotional content unless you have separately and explicitly consented to that.

Our text messages are sent through Twilio, Inc., a third-party messaging provider that helps us deliver SMS reliably across carriers. Twilio acts as a data processor on our behalf and processes only the information needed to deliver messages to you. Twilio does not use your information for its own marketing purposes.

Cookies, analytics, and advertising tools

We use the following tools to understand site usage and measure ads:

  • Google Analytics — measures aggregate site traffic and behavior. Governed by Google’s Privacy Policy.
  • Meta Pixel — tracks the performance of our Facebook and Instagram ads and helps us deliver relevant ads to people who have visited our site. Governed by Meta’s Privacy Policy.

Who we share information with

We share information only with:

  • Service providers who help us operate our practice and website (e.g., our website host, email provider, Twilio for SMS, Google Analytics, the Meta Pixel, and similar). These providers are contractually limited to using your information only on our behalf.
  • Authorities, when required by law (e.g., subpoena, court order, or regulatory request).

We do not sell your personal information. We do not share your phone number or email with third parties for their own marketing purposes.

Children’s privacy

Our website is not directed to children under 13, and we do not knowingly collect personal information from children online. If we learn we have collected information from a child under 13 without parental consent, we will delete it.

Security

We use commercially reasonable safeguards to protect the information we collect, including encrypted connections (HTTPS) and access controls. No internet transmission is 100% secure; we encourage you to call our office for sensitive medical information rather than send it through online forms.

Changes to this policy

We may update this policy from time to time. The “Effective” date at the top reflects the most recent revision. Material changes will be highlighted on this page for 30 days after they take effect.
